How the fixed-date and decreasing prices membership billing system works

The membership renewal mode with fixed date and sliding scale pricing allows to synchronize all the renewals of an organization on the same day of the year. For example, all memberships of all members expire on January 1st. It is important to note that the default period is always one year.

To apply this mode, go to Member Settings and select the "Membership Types" page.

Select the appropriate membership and select the "Rate" tab. In the "Duration and Date" section, select a constant period membership type:

  • Calendar Year
  • School year
  • Custom

Decreasing price configuration

Beginning of period

It is mandatory to define the beginning date of the period. It allows you to calculate the renewal date of your organization's membership. This date is specific to each type of membership. The start date is predefined for the school year and the calendar year periods. You can choose your own period start date by selecting a "Custom" period.

The default value for the start of the period is January 1.

Membership Price

If your membership is not free, check the Paid box and indicate the price of your membership for the entire period.

Degressive price

The degressive price during the period is configurable according to the date of the transaction. Check the Decreasing prices box to set the different prices for the year.

The example above allows you to reduce the price according to the date of purchase of the membership. If a new member buys a membership on April 1st, the price will be $750 and the expiration date will be December 31st of the same year. The degressive prices are controlled by adding lines using the button .mceclip6.png.

The start date of the membership is not associated to the date of the transaction but to the date of the current period. For example, a new member who buys a membership on April 20 will pay 750 with a start date of April 1 and an end date of December 31 of the same year.

Another example: if a person becomes a member on December 15, he will have to pay 250 for the last two weeks of the year and will have to pay his renewal 15 days later, on January 1, to remain a member of the organization.

Extension of membership term for new memberships at the end of the year

To avoid an active period that is too short at the end of the year and to avoid requiring new members to make two payments in a short period of time, it is possible to extend the term of membership for new members by choosing the option "Include next year's renewal for new members".

As described in the example above, the price starting October 1 is 1250 but for a period of 15 months because the option is checked. New members who purchase a membership after October 1 will pay 1250 but the term of their membership will be from October 1 to December 31 of the following year.

With the above configuration, we minimize the financial impact for those who become members at the end of the year. A new member as of December 5th will purchase a membership that covers the period from December 1st to December 31st of the following year for the sum of 1050, which is 50 more than a membership purchased after January 1st.

Option to offer to pay more than one year

Yapla allows you to offer the payment of the membership for 1, 2 or 3 years. By default, the system offers membership for one year. However, it is possible to propose a price for two years, or even three years.

Some associations offer a discount to members who choose to pay their membership for more than one year. To offer to pay for a second year now, click on Propose one more year and choose your price. Offering two additional years allows you to sell a fixed-date membership at a decreasing price of 3 years.

Renewal opening date

You must decide when you allow your members to renew their membership. Prior to that time, the system does not allow renewals. Prior to the opening date of renewals, the membership types concerned are displayed in read-only mode.

Displaying the options to pay for more than one year on the website

By ticking the 2 or 3 year options, the member can purchase or renew his membership for a longer period of time. The date covered by the membership is always displayed below the option and the text of the offer promotion is displayed below the option.

Special fees

Special fees are applicable only once per membership and are not multiplied if a member renews for two or three years.

The period covered for each membership is always displayed.

Calculation of membership prices

The calculation of the price of a membership is based on three variables

  1. A new member or the renewal of an existing member
  2. The price associated with the current date
  3. The option "Include next year's renewal for new members"

A member in grace period is not considered a new member. However, a member who renews after the retroactive membership date is considered a new member.
