List of automated communications

The Yapla platform manages all of your automated email communications. These automatic emails and reminders are triggered according to specific situations. This allows you to gain in productivity.

Here is, grouped by Yapla feature, the list of message types with their description and function.

 

MEMBERS

Members

Member creation Sent when a member is added to your member directory, even if they don't have a membership. This communication is sent to administrators by default. 
Editing a member record Sent when the information in a member's profile is modified.
You can choose which notifications a member receives using the function Send the notification when specific information in the member's profile is changed

 

Passwords

Communicate password to all members

Mass email sent manually to all active members when the organization's Yapla website has been launched.

Reset password Sent when a member has forgotten their password.
Password modification

Sent to confirm that a member's password has been updated.

Membership to be renewed

May be sent multiple times depending on the number of days until the membership expires. For example, you can create three different messages that are sent 30, 15 and 1 day before the membership expires.

Membership to be renewed (after expiration) May be sent multiple times depending on the number of days after the membership expiration date. For example, you can create three different messages that are sent 1, 15 and 30 days after the membership expires.
Membership awaiting payment

Sent when a membership status changes to Awaiting payment, for example, when a member is paying by cheque or bank transfer.

May be manually sent in the membership details.

Membership validated

Sent when a new membership changes to validated status.

Membership renewal

Sent when a membership renewal has been validated.

Resend payment confirmation

Sent manually when you click on Resend payment confirmation in the member's membership details.

Reminder - Membership awaiting payment

Message automatically sent to a member if their membership has not been paid after a set number of days. For example, you can create three different reminders that are sent 30, 60 and 90 days following the purchase of the membership.

Membership awaiting validation

If your memberships require validation, this email will be sent when the status of a membership change to Awaiting validation.

Membership pending documents Automatically sent when a membership's status changes to Awaiting documents. (Workflow C and D)
Document rejected

Automatically sent when a document is rejected (Workflow C and D)

Membership pending approval

Automatically sent when member’s status changes to Awaiting approval. (Approval option required before allowing a member to join).

Membership request approved

Sent when a member awaiting approval is approved by an administrator. (Workflow D and Option Approval required before allowing a member to join).

Membership request refused

Sent when a member awaiting approval is denied by an administrator. (Workflow D and Option Approval required before allowing a member to join).

Membership Pending Approval

Sent when a member moves to Pending Approval status. (Approval option required before allowing a member to join)

Continuing education document not validated Sent when a document is refused.
Continuing education document validated Sent when a document is accepted.
Training validated Sent when training has been validated.
Continuing education status May be sent multiple times depending on the number of days preceding the continuing education period end date. For example, you can create three different messages that are sent 30, 15 and 1 day before the period ends.

Validated registration confirmation to responsible person Sent when the status of a registration for a paid event changes to Registration validated. Only sent to the person responsible for the registration.
Registration confirmation to participant(s) Sent when the status of a registration for a paid event changes to Registration validated. Sent to all participants in the case of a multi-participant registration (including the person who registered the group if they are also participating).
Registration confirmation pending payment to responsible person Sent when the status of a registration for a paid event changes to Registration pending payment.
Free event registration confirmation to responsible person Sent when the status of a registration for a free event changes to Registration validated.
Registration reminder to participant(s) Sends a reminder to the participants registered for an event. You can choose how many days before the event that the reminder will be sent in the communication settings.
Reminder to participants pending payment Sends a reminder to participants whose registration is pending payment. You can choose how many days after the registration that the reminder will be sent in the communication settings.
Registration cancellation Sent when the status of a registration for an event changes to Registration cancelled.
Manual message Allows you to send a personalized message on demand, either from the list of registrations for an event or from the screen of a specific registration.
Registration confirmation

Sent when an event registration is confirmed regardless of the payment status. Sent to all participants in the case of a multi-participant registration (including the person who registered the group if they are also participating).


​Donations

New donation received

Sent when a donation's status changes to Completed.

Tax receipt issued

Sent when a tax receipt is sent.

Adding a pledge

Sent when a pledge is added in Donations on the website with payment by check or added in administration.

Cancellation of a donation

Sent when the donation has been cancelled in administration.

Reminder to donors awaiting payment - pledge

Message sent automatically to donors who have made a pledge if the donation has not been paid after a certain number of days. For example, it is possible to send reminders after 30, 60 and 90 days after the pledge has been added.

 

Campaign - Recurring Donations

Receiving a new donation Sent when a donation changes to Completed status.
Error when making a recurring donation Sent if there is an error during the automatic payment of a recurring donation.
Tax receipt issued Sent when a tax receipt is sent.

 

Peer-to-Peer Campaign (P2P)

Registration of a new participant Sent when a new participant registers.
Donations to a participant Sent to the participant when a donation has been received.

 

Donators

Donator reminder Sent automatically x days after the last donation. For example, you can contact donors who have not made a donation in the last 365 days to invite them to give again.

 

Data

The Data application allows you to create communications for any status. For more details on communications in objects.

Manual message

Allows you to send a personalized message on demand from an item's file.
