# Host files and create download links

## Upload your documents to your account's file server, then add a download link to a page, an article or a communication.

**Available with the Essentials plan and higher.**

Your account's file server hosts your documents: forms, annual reports, meeting minutes, etc. A link created in the text editor then lets your visitors view or download these files. The same method works in every text editor: the Custom content module, articles, descriptions and communications.

### Accepted files

The server contains two main folders:

- **Files:** documents of up to 20 MB, including PDF, Word (doc, docx), Excel (xls, xlsx, csv), PowerPoint (ppt, pptx), OpenDocument (odt, ods), text (txt, rtf), compressed archives (zip, rar, 7z), audio (mp3, wav) and video (mp4, mov).
- **Images:** images of up to 2 MB, in jpg, jpeg, png, gif, svg, webp and bmp format.

Name your files without spaces or special characters (accents, apostrophes) before uploading them. Their address then stays readable and opens without issue in every browser.

### Add a link to a file

1. In the text editor, select the text (or image) to make clickable, then click the **Link** icon in the toolbar. If no text is selected, enter the link text in **Display Text**.
2. In the **Link Info** tab, click **Browse Server**. The file server opens.
3. Open the **Files** folder (or one of its subfolders), click **Upload** and select the file on your computer. If the file is already on the server, go to the next step.
4. Double-click the file to select it. Its address appears in the **URL** field.
5. To open the file in a new tab, open the **Target** tab and choose **New Window (\_blank)**.
6. To have the file download directly instead of opening in the browser, open the **Advanced** tab and check **Force Download**.
7. Click **OK**, then save your page, article or communication.

### Reuse a file's address

The address shown in the **URL** field of the link window stays the same as long as the file does not change. Copy it to point to the file from somewhere else, for example an [external link added to your website menu](https://support.yapla.com/en-ca/create-a-web-page-with-yapla-and-integrate-it-into-your-website#external-link) or an email.

### Organize your files

In the file server, **New Subfolder** creates a folder to sort your documents, for example one folder per year or per committee. Right-clicking a file shows the available actions, such as renaming or deleting it.

Renaming, moving or deleting a file changes or removes its address, so the links that point to it stop working. Update these links after any change.

With the Premium plan and higher, the [media library](https://support.yapla.com/en-ca/create-a-media-library?hsLang=en-ca) also gathers your downloadable documents and adds them directly to your articles.
